Mail merge for labels without Word: open a spreadsheet of names and addresses (or paste them), choose your label sheet, and save a PDF that prints each address in its own label. It lines the text up with the published sizes of the most common sheets, from 30-per-sheet address labels (works with Avery® 5160 sizes) to 80-per-sheet return address labels and A4 sheets of 21, 14 or 65.
The spreadsheet is read and the PDF is made in this page with pdf-lib. Names with letters the built-in PDF fonts lack, such as Polish, Greek or Cyrillic ones, are written with the Noto Sans font, downloaded the first time it is needed and embedded in the PDF. It is free to use, with no account and no upload limit, and it runs entirely in your browser: nothing is uploaded, and while the page stays open, a feature you have already used keeps working offline. This site is not connected with Avery; the product codes are only used to say which sheets the sizes fit.
- Will this work with Avery 5160 labels?
- The 30-per-sheet layout uses the published 5160 measurements: labels 2⅝ × 1 inch, three across and ten down, with a ½ inch top margin and 3/16 inch side margins. The same size is sold as 8160, 5260 and 5960, and by other makers as 5160-compatible labels. Print a test sheet on plain paper and hold it against a label sheet to check before printing a full batch.
- Why are my labels slightly off when printed?
- Almost always because the print was scaled: choose Actual size or 100% in the print dialog, not Fit to page. If the labels are still off by the same amount everywhere, your printer feeds the paper slightly off; measure how far with the test sheet and use the nudge settings to move everything back.
- How do I use a sheet that already has some labels peeled off?
- Set Start at label to the first label that is still on the sheet, counting across the rows from the top left. The places before it are left blank on the first page, and the preview shows them faded.
- Which columns does my spreadsheet need?
- Any. Columns with headings like First name, Last name, Address, Address 2, City, State and ZIP (or Postcode) are put on the right lines for you. Otherwise each line can be set by hand, combining columns in braces, such as {City}, {State} {ZIP}.
- My ZIP codes lost their leading zero. What happened?
- Excel stores a ZIP code typed as a number without its leading zero, so 02134 becomes 2134. The page spots four-digit ZIP codes stored as numbers and offers to add the zero back; CSV files are read as text, so their zeros are kept.
- Can I print names with accents or other alphabets?
- Yes. The accented letters of Western European languages, such as French, Spanish or German, print with the built-in fonts; other accented letters (Polish, Czech or Turkish, for example), Greek, Cyrillic and Vietnamese switch the labels to the Noto Sans font, embedded in the PDF. Chinese, Japanese, Korean, Arabic and Hindi are not in that font, and print as boxes; the page says so when you save the PDF.
- Is my address list uploaded?
- No. The spreadsheet is read, and the PDF made, in this browser tab on your device; the addresses are never sent anywhere.
